In my recent work with a valued client, Glór na nGael, I had the opportunity to assist them in Migrating their Google Workspace account from a reseller-based setup to a fully recognized Google Workspace for Nonprofits account. This process was not without its complexities, but with a clear roadmap and diligent execution, we successfully made the switch, ultimately empowering the client to take advantage of Google’s non-profit resources and, later, upgrade to the Business Standard plan.
1. Understanding the Initial Request
In June 2024, I was approached by Glór na nGael under our Service Level Agreement for website support, seeking information on how to migrate from a standard Google Workspace account to a Non-Profit Workspace account. As an admin on the account, I began by collecting essential information, such as the client’s Charity Number, primary point of contact, and address, all of which were required for the application process.
2. Identifying a Key Roadblock: The Reseller Setup
Upon further investigation, I noticed that no upgrade options were available within Google Workspace. This was due to the fact that the account had been set up under a Google Workspace Reseller by a third-party company. In order to proceed with the move to a Non-Profit account, we first had to navigate this hurdle.
Using Google’s Community Forums, I was able to clarify the necessary steps. I posted a detailed request explaining the situation and received helpful guidance: the reseller would need to end their relationship with the account before we could make any changes.
3. Ending the Reseller Relationship
To ensure a smooth transition, I reached out to the reseller with specific instructions, asking them to use the “End Relationship” button under the customer details in their billing console. Fortunately, they complied promptly and confirmed the relationship was terminated via email.
4. Activating Google Workspace for Nonprofits
With the reseller relationship successfully ended, I immediately began the process of activating the Non-Profit SKUs. On September 13th, 2024, I received the official confirmation email from Google:
“Congratulations! Google Workspace for Nonprofits is activated for glornangael.ie.”
This marked a significant milestone in the project, as the client could now take full advantage of Google’s suite of tools tailored specifically for non-profit organizations.
5. Billing and Upgrade to Business Standard
Once the Non-Profit account was activated, I assisted in setting up several billing accounts to ensure everything was in order. Interestingly, the client saw the need for additional features beyond what the standard Non-Profit plan offered, so they chose to upgrade to the Business Standard account for greater flexibility, including additional storage and enhanced collaboration tools.
6. Ensuring a Smooth Transition: Lessons and Best Practices
While the core project of migrating to a Google Workspace for Nonprofits account was a success, I made sure to take several additional steps to ensure the client’s long-term satisfaction:
- Data Retention & Integrity: I confirmed that all data, including emails, shared drives, and calendars, remained intact after the transition.
- User Access & Permissions: Following the upgrade, I reviewed the permissions and access levels of all users, ensuring no loss of access during the migration.
- Billing Accuracy: I verified that the correct billing accounts were set up, with any Non-Profit discounts properly applied.
- Security Review: Given the upgrade to Business Standard, I ensured the client was aware of additional security features that came with their new plan, providing recommendations on how to implement them for optimal protection.
7. My Takeaway: Confidence in Delivering Complex Solutions
This project reaffirmed my belief in the value I bring to my clients. Helping Glór na nGael transition from a reseller-based setup to a fully optimized Non-Profit account required not only technical expertise but also clear communication and project management. From resolving the reseller challenge to ensuring the client could leverage Google’s non-profit resources, every step was a testament to the detailed, solution-oriented approach I take with every project.
By seeing the project through from initial inquiry to successful activation and upgrade, I was able to deliver a solution that met the client’s needs and empowered them with the tools necessary to grow as an organization.
